一般來(lái)說(shuō),現(xiàn)在使用的商務(wù)英語(yǔ)書(shū)信的格式主要有兩種:傳統(tǒng)的縮頭式(the conventionalindented form) 和現(xiàn)代的齊頭式(the modern
blocked form) 。

有的公司把信頭直接印在所使用的信紙上。質(zhì)量?jī)?yōu)良的信紙以及一個(gè)整潔、勻稱(chēng)的信頭,可以展示一個(gè)公司的風(fēng)采,增強(qiáng)公司的信譽(yù)。
案號(hào)是寫(xiě)信時(shí)所給的、以便查詢的字母或數(shù)字。經(jīng)常以“our ref”和“your ref”來(lái)區(qū)分。它的位置一般是在信頭的右邊。而日期在信頭
以下三行或四行,不管是齊頭式還是縮頭式,一般把日期放在右端,這可起到行尾的作用,使信看上去更整齊。在商務(wù)英語(yǔ)書(shū)信中,日期一定
要寫(xiě)全,不能用數(shù)字的形式,因?yàn)槊绹?guó)和英國(guó)的日期標(biāo)示法是不同的。英國(guó)的日期標(biāo)示法是“24thmarch. ”, 而美國(guó)的日期標(biāo)示法則是
“march24 ,2002”。月、日的后面用逗號(hào),年份后面不用標(biāo)點(diǎn)。
封內(nèi)名稱(chēng)和地址即收信人的名稱(chēng)和地址,要放在信紙的左上方,在日期以下三行或更多行,這可根據(jù)信的長(zhǎng)短來(lái)定。
封內(nèi)名稱(chēng)和地址要用齊頭式,
緊靠信紙的左邊,這樣會(huì)使信看上去整齊。
開(kāi)頭稱(chēng)呼語(yǔ)是寫(xiě)信人開(kāi)始信文的禮貌用語(yǔ),一般商務(wù)英語(yǔ)書(shū)信中多用dear sir , dear sirs 或gentlemen ,并且獨(dú)立成行,在封內(nèi)名稱(chēng)
和地址以下三行。在dear sir 或dear sirs 后面用逗號(hào),而在gentlemen 后面用冒號(hào)。
信文是實(shí)質(zhì)性的內(nèi)容,信文的書(shū)寫(xiě)要求是簡(jiǎn)潔、清晰、禮貌;語(yǔ)法正確,切中要點(diǎn);段落劃分明確,每段集中于一個(gè)話題;打印準(zhǔn)確,布局要
有藝術(shù)性,使你的信件看上去賞心悅目。尤其注意頁(yè)邊空欄,它是信文的框架。信文多用單行距,有些短信可用雙行距。
結(jié)尾敬語(yǔ)是信件結(jié)束時(shí)的一種禮貌用語(yǔ)。它只是一種禮貌用語(yǔ),在信中沒(méi)有實(shí)際意義,傳統(tǒng)使之成為必須,并已成為習(xí)慣,所以一直沿用
至今。傳統(tǒng)的結(jié)尾敬語(yǔ)有: yours faithfully , yours truly(多用于美國(guó)) 等,也有人用倒裝的faithfully yours , truly yours 等。結(jié)
尾敬語(yǔ)必須和信文緊連一起,不能分開(kāi),更不能把它單獨(dú)放到另一頁(yè)。如遇此種情況,則信件必須重新安排、打印。
簽署是寫(xiě)信人或其所代表公司的名稱(chēng)或標(biāo)記。公司名稱(chēng)可以打印,而主管人簽名則必須是手寫(xiě),兩者都不可用印章代替。這部分在結(jié)尾敬
語(yǔ)以下三行,大約留出五行或更多的空間。
注意事項(xiàng)的習(xí)慣用語(yǔ)是:for the attention of 或簡(jiǎn)單的attention ,下面一般要加上橫線。當(dāng)信件是寫(xiě)給特定的人或主辦部門(mén)時(shí),則用

事由或標(biāo)題在開(kāi)頭稱(chēng)呼語(yǔ)以下兩行,下加橫線,除齊頭式外,一般放在信文以上中間。經(jīng)常是用一詞或簡(jiǎn)單的幾個(gè)詞來(lái)表示信文的主題,
讓收信人先對(duì)所談內(nèi)容有所了解。
經(jīng)辦人代號(hào)在簽署以下兩行。是打字員名字的首字母縮寫(xiě),可用小寫(xiě),也可用大寫(xiě)。
附件在經(jīng)辦人代號(hào)以下兩行。寫(xiě)信人可標(biāo)示出一個(gè)或多個(gè)信中所提到的附件。經(jīng)常使用的形式有: enclosure , enclosures ,encl.,
enc. 等。

附言在抄送以下兩行。如寫(xiě)信人想增加些信中忘記提到的內(nèi)容,可用此方式,但應(yīng)盡量避免使用。因?yàn)樗赡軙?huì)給人一種錯(cuò)覺(jué),即在寫(xiě)信
前,你未能很好地安排你的信件。這可能會(huì)影響到你的信譽(yù)。
在上述十三部分內(nèi)容中,前七部分是每一封商務(wù)英語(yǔ)信件所必需包含的內(nèi)容,而后幾部分則是可有可無(wú)的。

完整:商務(wù)函電應(yīng)完整表達(dá)所要表達(dá)內(nèi)容和意思,何人、何時(shí)、何地、何事、何種原因、何種方式等。
正確:表達(dá)的用詞用語(yǔ)及標(biāo)點(diǎn)符號(hào)應(yīng)正確無(wú)誤,因?yàn)樯虅?wù)函電的內(nèi)容大多涉及商業(yè)交往中雙方的權(quán)利、義務(wù)以及利害關(guān)系,如果出錯(cuò)勢(shì)必會(huì)造成不必要的麻煩。
清楚:所有的詞句都應(yīng)能夠非常清晰明確地表現(xiàn)真實(shí)的意圖,避免雙重意義的表示或者模棱兩可。用最簡(jiǎn)單普通的詞句來(lái)直截了當(dāng)?shù)馗嬖V對(duì)方。
簡(jiǎn)潔:在無(wú)損于禮貌的前提下,用盡可能少的文字清楚表達(dá)真實(shí)的意思。
清楚和簡(jiǎn)潔經(jīng)常相輔相成,摒棄函電中的陳詞濫調(diào)和俗套,可以使交流變得更加容易和方便。而一事一段則會(huì)使函電清楚易讀和富有吸引力。

中文書(shū)信內(nèi)容的結(jié)構(gòu),主要由稱(chēng)呼、啟詞、正文、酬應(yīng)過(guò)渡、祝頌詞、簽署、日期等七部分組成。
1、稱(chēng)呼 稱(chēng)呼是寫(xiě)信人對(duì)受信人的尊稱(chēng),主要依據(jù)相互間的隸屬關(guān)系、親疏關(guān)系、尊卑關(guān)系、長(zhǎng)幼關(guān)系等而定,一般都用“敬語(yǔ)+稱(chēng)謂”的形式組成。如:“尊敬的王總經(jīng)理”、“親愛(ài)的劉主任”、“尊敬的董事長(zhǎng)先生閣下”等。對(duì)某些特殊的內(nèi)容或與境外華文地區(qū)的人員往來(lái)還可加上“提稱(chēng)”如:“尊敬的王博士總經(jīng)理海成先生臺(tái)鑒”、“親愛(ài)秘書(shū)明玉小姐雅鑒”等等。 (頂格寫(xiě),后面加冒號(hào)。)
2、啟詞 啟詞是信文的起首語(yǔ),可有多種表示法。如問(wèn)候式的“您好”、“別來(lái)無(wú)恙”;思懷式的“久不通信,甚為懷想”、“去國(guó)半載,諒諸事順?biāo)臁钡?;贊頌式的“新春大吉”、“開(kāi)張大吉”等;承前式的“上周曾發(fā)一傳真件,今仍具函,為××事”,“貴公司×月×日賜函已悉”等等。不分對(duì)象,不論內(nèi)容,一律以“您好”為書(shū)信之啟詞,實(shí)在極不恰當(dāng)。此外,公務(wù)書(shū)信的啟詞還可用“茲為、茲因、茲悉、茲經(jīng)、茲介紹、茲定于”;“頃聞、頃悉、頃獲”;“欣聞、欣悉、欣逢、值此”,以及“據(jù)了解、據(jù)報(bào)、據(jù)查實(shí)”等一系列公文用語(yǔ),以提領(lǐng)全文。(在稱(chēng)呼下面另起一行,前空兩格?。?/p>
3、正文 正文是書(shū)信的主體,是書(shū)信能否達(dá)到寫(xiě)信人理想效果的關(guān)鍵。一封信可以專(zhuān)說(shuō)一件事,也可以兼說(shuō)數(shù)件事,但公務(wù)書(shū)信應(yīng)該一文一事。正文要清楚、明了、簡(jiǎn)潔,并注意情感分寸,不應(yīng)有昵褻輕狂之嫌,也不可顯侮蔑輕慢之意。 (在啟詞下面另起一行空兩格。)
4、酬應(yīng)過(guò)渡 正文結(jié)束時(shí),可寫(xiě)幾句酬應(yīng)性的話作為全文的過(guò)渡。如“我方相信,經(jīng)過(guò)此次合作,雙方的友誼將有進(jìn)一步發(fā)展”.又如“再次表示衷心的`感謝”或“代向公司其他同志問(wèn)候”等等。也有用公務(wù)書(shū)信的常用結(jié)語(yǔ)過(guò)渡,如“特此函達(dá)、特此說(shuō)明、特此重申、特此函詢、特此致歉”,或“肅此專(zhuān)呈、肅此奉達(dá)”,也有“特此鳴謝、敬請(qǐng)諒解、尚祈垂察、務(wù)請(qǐng)函復(fù)、至希鑒諒”,以及“承蒙惠允、承蒙協(xié)辦、承蒙惠示、不勝榮幸、不勝感激”等等。 (過(guò)渡一下更符合禮儀規(guī)范)
5、祝頌詞 書(shū)信的最后,寫(xiě)祝頌詞是慣例。由于寫(xiě)信人與受信人的關(guān)系各有不同,書(shū)信內(nèi)容各有不同,祝頌詞的寫(xiě)法便呈多種多樣。誠(chéng)祝生意興隆“等等,有時(shí),往往用簡(jiǎn)單的一兩句話,寫(xiě)明希望對(duì)方答復(fù)的要求。如”特此函達(dá),即希函復(fù)。“同時(shí)寫(xiě)表示祝愿或致敬的話,如”此致敬禮“、”敬祝健康“等。祝語(yǔ)一般分為兩行書(shū)寫(xiě),”此致“、”敬?!翱删o隨正文,也可和正文空開(kāi)。”敬禮“、”健康“則轉(zhuǎn)行頂格書(shū)寫(xiě)。
